Summary:
We are seeking a proactive, professional, and highly organized executive assistant to support the work of Jean Hailes' chief executive officer while also collaborating closely with the senior leadership team. The ideal candidate will be able to juggle multiple priorities, preempt needs, manage a broad range of stakeholders, and maintain confidentiality. This role requires being on-site in our Melbourne CBD office.
Key responsibilities:
You’ll be responsible for:
• Managing complex diaries, inboxes, and priorities for the CEO
• Preparing high-quality agendas, minutes, reports, and presentations
• Supporting Board and Committee meetings through document preparation and logistics
• Handling key administrative tasks, including document formatting and management
• Providing occasional administrative support for the Senior Leadership Team, particularly to manage external meetings
• Offering occasional reception support
• Liaising with a wide range of stakeholders
To be successful in your application, you will have:
• Proven experience supporting senior leaders in an EA or PA capacity
• Experience supporting Boards and Board sub-committees
• Excellent written and verbal communication skills
• Strong attention to detail and the ability to stay several steps ahead
• Confidence with Microsoft Office, Teams and SharePoint
• A high level of discretion and the ability to handle sensitive information
• A friendly, collaborative attitude and a genuine desire to be part of a positive team culture
