The Ski Club of Victoria (SCV) is one of Australia’s most established alpine clubs with a legacy spanning more than a century.
As pioneers of skiing in Victoria, SCV was founded to promote alpine sport and build a strong mountain community. Today, we continue that mission from our home at Mt Buller, operating hospitality venues, racing programs and member accommodation that support participation, connection and alpine culture across generations.
As a not-for-profit organisation, we reinvest directly back into our facilities, our people and long-term sustainability. With deep respect for our heritage, we are equally committed to modern governance, operational discipline and building a structure that supports the club well into the future.
The Opportunity
This is a senior, full-time role working closely with the General Manager and Board.
You will be a trusted partner to the GM — ensuring governance runs smoothly, priorities are followed through, communication is clear and the organisation has the structure it needs to perform at its best.
You won’t be running the hotel or managing the restaurant floor. Instead, you’ll sit across the organisation — connecting the dots, keeping executive workflow disciplined and helping leadership stay focused on strategy and member experience.
In the GM’s absence, you’ll act as the central coordination point for executive continuity (2IC), ensuring things don’t stall and standards don’t slip.
What You’ll Be Doing:
Keeping the Club Organised and Moving Forward
You’ll sit at the centre of the organisation — ensuring priorities don’t stall, systems stay structured and the General Manager can focus on leading the club.
Tracking strategic initiatives and key projects across the organisation
Maintaining executive dashboards and operational reporting templates
Coordinating follow-up across departments to ensure agreed actions are delivered
Supporting planning for seasonal readiness, peak periods and major initiatives
Supporting Financial and Administrative Discipline
While you won’t “own” the finances, you will help keep the engine room running smoothly.
Coordinating invoicing (AP/AR), receipting and document flow with outsourced accounting providers
Supporting bank reconciliations and structured financial documentation
Ensuring contracts, permits and compliance documents are current and well organised
Strengthening the Member Experience
SCV exists for its members — and this role helps ensure the experience is consistent and professional.
Supporting strategic initiatives that enhance the member journey
Coordinating documentation and planning for events and activations
Drafting professional member communications
Maintaining clarity and structure across departments to support seamless delivery
Acting as a steady, solutions-focused escalation point when required
Governance and Structure
Good governance underpins everything we do — and you’ll help keep it simple and effective.
Managing key governance dates and compliance requirements
Preparing Board papers and tracking action items
Maintaining policy registers and document control systems
Ensuring information is structured, secure and accessible
Systems, People and Workflow
Maintaining structured digital filing systems
Supporting recruitment administration
Manage Internal communications
Bringing order, clarity and discipline to executive-level operations
About You
You are highly organised, structured and proactive. You take pride in doing things properly and don’t wait to be asked. You naturally bring order where others see complexity and you think ahead rather than react.
You’re calm under pressure, comfortable working with senior stakeholders and understand the importance of discretion. You know how to protect executive time, prioritise effectively and gatekeep with judgement — not ego.
Importantly, you apply strategy to your decision-making. You don’t just complete tasks — you understand why they matter and how they contribute to the bigger picture.
You will bring:
Experience in executive support, governance or senior administration
Experience working with Boards or committees (preferred)
A sound understanding of accounting principles
Experience coordinating or managing Accounts Receivable and Accounts Payable processes
Confidence working alongside outsourced providers
Strong written communication skills
Advanced Microsoft Office capability
Excellent attention to detail
The ability to manage multiple moving parts without losing clarity
Confidence in gatekeeping, prioritising and escalating appropriately
A passion for Snowsports and mountain life
Hospitality, club or member-based experience is advantageous — but mindset, professionalism and initiative matter most.
The Environment
This is a full-time senior role.
The rhythm of the role is shaped by the operational demands of the club. Winter is our peak trading season at Mt Buller and requires increased presence, responsiveness and leadership visibility. During these periods, the pace is higher and executive coordination becomes critical to maintaining standards and momentum.
You will be part of the leadership rhythm of the organisation — visible, engaged and contributing to operational continuity when it matters most.
