The Aboriginal Art Centre Hub of Western Australia (AACHWA) advocates on behalf of its member art centres located in regional and remote Western Australia. AACHWA delivers professional development programs for managers, boards, and artists; provides recruitment advice and services; and acts as an advocate to, and central point of contact for, Regional, State and Federal funding bodies. About the role 

Reporting directly to the CEO, the Executive Assistant is a pivotal support role within AACHWA. We are seeking someone with exceptional communication skills, strong organisational capability and meticulous attention to detail to provide high?level executive and administrative support to the CEO and Board. This includes managing governance processes, preparing board documentation, coordinating membership applications, and ensuring compliance requirements are met.

The role requires someone who can operate with a high degree of autonomy, navigate repetitive and process?driven tasks with consistency, and maintain absolute confidentiality across all executive functions. Given the dynamic nature of the organisation, the Executive Assistant must be adaptable, proactive and able to anticipate the needs of the CEO and Board.

In addition to executive support, the position contributes to broader office management activities, helping ensure smooth day?to?day operations and supporting the wider team when required.

This role is not a corporate EA position — it is hands?on, grounded in community?focused work, and requires someone who is comfortable with repetitive tasks, detailed processes and working independently.

Duties and Responsibilities

This is a key support role within the organisation, providing high?level executive and administrative assistance to the CEO, Board, Finance Manager and General Manager. The work is varied but highly process?driven, with a strong focus on governance, documentation, scheduling and compliance.

You will be responsible for:

Coordinating all Board and subcommittees meeting logistics, including agendas, board packs, minute?taking, governance duties and AGM preparation

Managing complex scheduling and calendar management for the CEO, Board and committees, including correspondence, mail, phone calls and meeting logistics and travel

Keeping the CEO and Board informed of time?sensitive issues and ensuring appropriate follow?up

Coordinating membership applications and approval processes, ensuring criteria are met, registers are maintained and reporting and compliance requirements are fulfilled

Preparing letters, briefing papers, reports and occasional speech writing for the CEO

Conducting sector research and compiling information to support executive decision?making

Scheduling departmental meetings and assisting with the preparation and distribution of agendas and materials

Maintaining accurate filing systems and ensuring documentation is organised, accessible and compliant with organisational procedures

Assisting with travel bookings, accommodation, catering and event logistics for the CEO, Board and organisational activities

Supporting the CEO with stakeholder communication and high?priority tasks

Working closely with the Admin Officer (3 days per week) and stepping in to support their duties when required

Contributing to organisational publications, including the Annual Report

Upholding professionalism, confidentiality and AACHWA’s values in all interactions with internal and external stakeholders

Reconciling receipts and submitting invoices for payment

The Ideal Candidate

Essential Criteria include:

Australian Citizen/Permanent Resident

At least four years’ experience in an administrative or EA role directly supporting senior leadership

Excellent written and verbal communication skills

Meeting organisation experience, strong minute?taking, document preparation and meticulous organisational abilities

Confidence managing multiple schedules, deadlines and concurrent tasks

High attention to detail and a commitment to accuracy

The ability to work autonomously and maintain confidentiality

A friendly, professional and adaptable approach

Proficiency with office software and a willingness to learn new systems

National Police Clearance

Highly regarded (but not essential):

An understanding of the Aboriginal and Torres Strait Islander art centre business model

Experience working for a Non-Profit Organisation and an understanding of the compliance reporting requirements to Federal, State Government funders and other bodies (i.e. ORIC/ACNC)
