As we continue to grow, we are seeking a friendly, well-organised, and professional Client Intake Officer to join our team.
This is not a passive reception role. We are looking for someone who thrives on engagement, follow-up, and converting enquiries into positive outcomes.
Key Responsibilities:
Act as the first point of contact for all new enquiries (phone, email, website forms, referrals)
Proactively follow up every enquiry until outcome is confirmed (no enquiry left unprocessed)
Convert enquiries into confirmed bookings through strong communication and solution-based conversations
Understand each family’s unique situation and recommend suitable therapy pathways
Coordinate with therapists to creatively problem-solve complex availability or funding scenarios
Maintain and track enquiry pipeline to ensure high conversion rate
Liaise with Support Coordinators and case managers professionally and confidently
Ensure all referral documentation and funding information is collected accurately and promptly
Identify growth opportunities and report trends in enquiries
Key Requirements:
Proven ability to convert enquiries into confirmed clients
Strong persuasive and consultative communication skills
Confident on the phone and able to build rapport quickly
Ability to think independently and propose solutions rather than escalate every issue
Highly organised with strong follow-up discipline
Comfortable handling objections and complex funding conversations (NDIS / Medicare / HCP)
Growth mindset with interest in contributing to clinic expansion
MUST be able to communicate orally in fluent English in a fast-paced health care clinic with clients, practitioners, and staff.
Ability to understand Mandarin AND/OR Cantonese is highly regarded, as we serve a culturally diverse clientele.
