Sub-Contractor Position

Ethos Psychology is a well-known boutique psychology private practice looking for an experienced and motivated Accounts Administrator and Bookkeeper to join our team in South Melbourne. We are a welcoming and supportive practice dedicated to the well-being of both our psychologists and clients, while delivering high-quality, professional mental health services to the wider community.

Remuneration

Contractor role with an hourly rate between 40–45 per hour, depending on experience, skill set, and private practice knowledge

THE ROLE WILL INCLUDE:

Accounts administration and bookkeeping support for the private practice

Managing invoicing, reconciliations, and monitoring outstanding payments

Preparation and lodgement support of BAS statements

Managing superannuation payments and contractor pay schedules

Processing contractor and supplier payments

Maintaining accurate financial records and accounting practices

Assisting with budgeting, reporting, and general business administration

Liaising with clinicians, administrative staff, external accountants, and relevant providers where required

Supporting systems and operational processes to improve efficiency

Use of practice management software, including Halaxy, and accounting platforms such as Xero (or similar)

Assisting with administrative tasks where required to support the broader team

WHAT WE ARE LOOKING FOR:

Previous experience in bookkeeping, accounts administration, or financial administration

Previous experience working within a private practice, allied health, healthcare, or small business environment is highly desired

Experience with BAS preparation, superannuation processing, and contractor pay scheduling

Knowledge and understanding of current Australian tax laws and compliance requirements preferred

Strong business acumen and understanding of small business operations

Experience with Xero, Halaxy, or similar accounting/practice management systems preferred

High level of attention to detail, organisation, and time management

Strong written and verbal communication skills

Ability to work independently and autonomously while remaining collaborative within a team environment

Ability to maintain confidentiality, professionalism, and discretion

Proactive problem-solving skills and initiative

Contractor ABN preferred

Experience within psychology or healthcare settings is highly regarded
