About the Role:

The Administrative Officer plays a central role in supporting the smooth and efficient operation of a school, department, or functional area. Acting as a key liaison and first point of contact, the role delivers high-quality administrative support, coordinates business processes, and ensures stakeholders receive responsive and professional service. The position may also provide executive support to senior staff.

Your responsibilities will include:

Establish, implement, and maintain effective administrative processes and systems that support the efficient operation of the work area.

Provide guidance, training, and day-to-day supervision to administrative and clerical staff, as required.

Interpret and advise on policies, procedures, and administrative processes to support staff and stakeholders.

Coordinate meetings, events, and administrative activities, including diary and commitment management for senior staff where required.

Prepare, coordinate, review, and distribute reports, briefing papers, agendas, minutes, correspondence, and other documentation.

Undertake research, gather data, and collate information to support operational, strategic, and project-related activities.

Provide administrative, logistical, and coordination support for projects, initiatives, and other business activities.

Manage internal and external communications, ensuring enquiries, correspondence, and information requests are handled professionally and in a timely manner.

Maintain accurate and up-to-date records, databases, and shared information repositories.

Coordinate the planning and delivery of events, including venue sourcing, catering, supplier liaison, promotional activities, and on-the-day support.

Coordinate the management of physical resources, facilities, equipment, and maintenance requirements within the area.

Arrange and coordinate travel for staff and visitors in accordance with University procedures, ensuring travel bookings, documentation, and itineraries are accurate and compliant.

Build and maintain effective working relationships with stakeholders across the University to support the delivery of services and operational outcomes.

Assist with the administration and monitoring of budgets, purchasing, and financial processes as required.

Monitor information sources and proactively identify and escalate critical issues, risks, and emerging developments to management.

Undertake other duties commensurate with the level of the position and consistent with the responsibilities outlined above.

 Role Requirements:

As this is a fixed-term contract, you will require current work rights in Australia that match the tenure of this role
