Position: HSE Document Controller

Job Summary

We are looking for an experienced HSE Document Controller to manage, control, maintain, and distribute HSE-related documentation and records for the project. The candidate will ensure that HSE documents are properly registered, tracked, updated, distributed, archived, and readily available for audits and project requirements.

Key Responsibilities

Maintain and control all HSE documents, records, registers, and correspondence.

Receive, register, track, distribute, and archive HSE documentation in accordance with project procedures.

Maintain document numbering, revision control, transmittals, distribution lists, and document status.

Control HSE procedures, plans, manuals, risk assessments, JSA/JHA, inspection reports, audit reports, permits, training records, incident reports, and other HSE documentation.

Maintain electronic and hard-copy filing systems for easy retrieval and reference.

Monitor document revisions and ensure obsolete documents are properly withdrawn from circulation.

Prepare and maintain HSE document registers and trackers.

Coordinate with HSE, QA/QC, Engineering, Construction, and Project Document Control teams regarding document submissions and status.

Follow up on pending reviews, approvals, comments, and document returns.

Assist the HSE team in preparing documentation for client/Aramco audits and inspections.

Maintain records of HSE training, competency certificates, toolbox talks, safety meetings, inspections, observations, and other HSE activities.

Ensure confidentiality, accuracy, and proper preservation of project records.

Prepare periodic document status reports and provide updates to the HSE Manager/Project Management.

Perform other document-control duties as assigned by the HSE Manager.

Qualifications and Experience

Diploma or Bachelor's degree in Document Control, Administration, Business Administration, Engineering, HSE, or a related field.

Minimum 5 years of experience in document control, preferably within Oil and Gas, Petrochemical, Construction, or EPC projects.

Previous experience supporting an HSE/Safety department is required.

Saudi Aramco project experience is highly preferred.

Familiarity with HSE documentation, project document control procedures, and document registers.

Good knowledge of MS Office, particularly Excel and Word.

Experience with electronic document management systems is preferred.

Good English communication and reporting skills.

Strong attention to detail, organization, and document-tracking skills.

Preferred Experience

Saudi Aramco/EPC project experience.

Experience handling large-volume HSE documentation and audit records.

Familiarity with Aramco/client document control requirements.

Immediate availability / transferable Iqama will be an advantage.
