A new position is being created for a legal receptionist to be the first point of contact at the front desk of our firm. The suitable candidate is ideally ambitious who wishes to be a practice manager of a law firm. He/She must have excellent customer service, interpersonal to other colleagues, and written and verbal communication skills and be able to work alongside persons of other backgrounds.

The successful candidate must have a driver’s licence as some travel within metropolitan Adelaide is required. She/He must be able to work independently, within a group and have pride with the quality of their work.

Key responsibilities of this position include: Setting up appointments and meetings for lawyers; Maintains office calendar by planning and scheduling conferences; Recording and monitoring key office dates; Taking incoming calls; Making outgoing phone calls; Collect faxes and allocating them correctly; Greeting guests who arrive at office; General clerical duties (Photocopying, faxing, scanning and binding); Ensure stationery supplies are sufficient to office needs; Arrange for collection and delivery of documents/packages; Attend to administrative tasks such as recording incoming/outgoing mail; Opening files in the computer system; Drafting legal documents – wills, pleadings, applications; Filing of documents onto files and online; Maintain presentation of public areas such as reception and boardroom/conference room; Reading and sending emails; Serve coffee or tea to clients in the waiting room.

Key selection criteria: Exceptional inter-personal skills; Good attention to detail and high level of accuracy; Strong work and customer service ethic; Ability to prioritise, manage deadlines and work well under pressure; Ability to maintain a calm, sensitive, pleasant and respectful manner with a diverse range of people; Having a 2nd language is of distinct advantage; High level of discretion, confidentiality, professionalism and sensitivity; High level user skills with Microsoft Office Suite essential; Experience managing online databases; Experience in dealing with background in family law, conveyancing, migration, estates practice is highly advantageous.
