Assistant, Core Community Services Limited. CORE Community Services (CCS) - we are a not-for-profit community organisation which has been operating in South West Sydney for almost 40 years. We deliver a wide range of services, activities and programs across five key service areas - Children's Services, Youth Services, Multicultural Communities, Aged and Disability Care and Community Engagement.

The position provides efficient and personal administrative and secretarial support to the Multicultural Communities Service Manager and other positions as directed by the Service Manager. The Assistant’s primary role is to support the Service Manager by performing a variety and range from routine to complex administrative, clerical and office duties, including oral and written communications, business contacts, calendar, meetings, travel and special projects. The Assistant receives direction from the Service Manager, and interacts with other team members, services and officials from regulatory and other third party institutions. The Assistant must understand the responsibilities, needs and priorities of the Service Manager and maintain a high level of confidentiality.

The role of Assistant will ensure professional secretarial services to the Service Manager and Multicultural Communities team and be dynamic in administration and report preparation, meeting coordination and schedule organisation. Critical to this role are exceptional interpersonal, communication and time management skills, along with good knowledge of Microsoft office packages.

Responsibilities include: Delivers broad variety of administrative tasks on behalf of the Service Manager including: managing the calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential and agendas. Communicates directly, and on behalf of the Service Manager with Service users, Families, Advocates, Funding Bodies, Government Departments, Local stakeholders & partners and as directed by the Service Manager.

Researches, prioritise, and follow up on incoming issues and concerns addressed to the Service Manger including those of a sensitive and confidential nature. Appropriately informs Service Manager of upcoming commitments and responsibilities and following up accordingly. Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, expenses, personal correspondence, and other tasks that facilitate the Manager ability to effectively lead the Service.

Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures. Receiving the Service Manager external and internal telephone calls and correspondence (including emails) and responding, directing it appropriately, or flagging them as appropriate.

Managing the Service Manager’s calendar, sorting and filtering requests for the Manger’s time while ensuring strategic priorities are met in a timely manner; Identifying the need for and assisting in the preparation of agenda materials for meetings which the Service Manger attends and convenes.

Creating and modifying documents and presentations for internal and external use by the Service Manager. Clerical and other office duties including creating and maintaining files and records, relieving receptionist for breaks. Preparation of documents for sign off and ensuring deadlines are met. Liaising with Departments for delivery of signed documents, ensuring copies are filled with appropriate internal services and finance. Coordinating events and functions as requested by the Manager.

 Selection Criteria: Formal qualification in Business Administration or other relevant qualification. A minimum of five years demonstrated experience in a similar role. Proven experience in providing executive support and assistance at a senior level. Demonstrated high level skills in dealing confidently and courteously with people at all levels. Strong organisational skills, the capacity to successfully manage competing priorities, maintain attention to detail and meet deadlines. Capacity to work independently with minimal direction and collaboratively in a team environment. Highly developed computer skill and literacy, with sound skills in MS Office: MS Outlook, MS Word and MS Excel and MS PowerPoint.

Strong interpersonal skills, with demonstrated ability to build rapport and interact effectively at all levels of an organisation. Sound problem solving skills with an ability to think analytically, logically and laterally. Strong organisational and time management skills, with an ability to prioritise tasks, meet prescribed deadlines, and concurrently manage a number of competing tasks. Strong moral and ethical compass and cultivates credibility & honesty. Displays empathy, commitment, resilience and is highly motivated to contribute.
