We are recruiting for an experienced Operations Coordinator to join our fast-growing team.

Job purpose: The Operations Coordinator will provide general Office Management, Secretarial and Administration functions to the Operations Manager and facilitate/ promote efficiency in all related and daily responsibilities and activities.

Qualifications and Competencies: Matric Certificate (Grade 12). Admin-related further studies (Advantageous). Minimum 5 years proven solid office management, secretarial and administrative experience. Intermediate computer skills, including all Microsoft Office programs (Word, Excel, Email/Outlook). Completely fluent in English and Afrikaans (Speak, Read, Write). Proven knowledge of office management responsibilities, systems, and procedures. Ability to manage purchase orders, invoicing, facilities, and asset Control. Exposure to the Contact Centre Environment would be advantageous.

Other Proficiencies: General knowledge and experience in HR related matters and company secretarial work. Familiarity with email scheduling tools, like Microsoft Outlook and Teams. Excellent time management skills and ability to multi-task and prioritize work. Strong organisational and planning skills in a fast-paced environment. A creative mindset with an ability to suggest improvements. Knowledge of accounting, data and administrative management practices and procedures. Knowledge of clerical practices and procedures. Knowledge of human resources management practices and procedures. Knowledge of business and management principles. Ability to analyse data. Communication, Leadership and taking ownership capabilities. Ability to work in fast-paced environment and think on your feet.

Office management Secretarial Administrative: Schedule meetings and appointments, Organise office operations and procedures and general administration processes, Coordinate with IT department on all office equipment (Internet, telephones, servers), Ensure that all office-related items are procured, invoiced, and paid on time, Assist in contract and price negotiations with office vendors, Provide general support and hospitality to visitors, Assist in completion of HR related documents /handover to HR and Recruitment for processing, Address employees queries regarding office management issues. Ensure booking of all traveling arrangements, accommodation etc. Plan in-house or off-site activities, like team buildings, meetings, celebrations, and conferences. Be first point of contact for any mailing, shipping, supplies, equipment, bills, and errands. Organize and schedule all meetings and appointments.
