Project Assistant
THE ORGANIZATION
Newspapers Canada is a joint initiative of the Canadian Newspaper Association (CNA) and the Canadian Community Newspapers Association (CCNA), two separate not-for-profit organizations that have partnered to create one strong industry voice for newspapers in Canada. Combined, the two associations represent over 850 daily, weekly, and community newspapers in every province and territory in Canada. Today, the primary role of Newspapers Canada is to represent the needs of the industry in the three major areas of Public Affairs, Marketing and Research, and Member Services. THE POSITION
The Project Assistant works collaboratively with a wide audience including Newspapers Canada’s members, board members, employees, and consultants. The Project Assistant position is not a traditional job, but is better characterized as an opportunity to play an important role in supporting an organization that makes a unique contribution to the Canadian media landscape.
RESPONSIBILITIES
While handling specific files, the Project Assistant will also be required to provide administrative support to other programs. Specifically, the Project Assistant will focus on three key areas:
1. Engage in wider organization objectives including:
Acting as an administrative resource to different projects and programs
Maintaining member databases with up-to-date information
Generating contact lists to suit specific communication objectives
Providing periodic support to reception
2. Coordinate the day-to-day operations of the CommunityWire news release service including:
Handling all customer inquiries, orders, billings, payments and acknowledgements
Preparing reports (sales, media monitoring, service improvements)
Maintaining website content
Working in close cooperation with accounting department and external web developers to ensure reliable operations
3. Coordinate board of directors and annual general meetings, including:
Meeting preparation including scheduling, compilation and dissemination of the agenda and meeting materials, and minute-taking
Logistics, including site selection, BEOs, travel arrangements, and billings
Preparation of expense claims for accounting
THE IDEAL CANDIDATE
You are keen to help others and have a “Can Do” attitude. You are a strong team player who is self-motivated and proactive. You are an ultra-organized multi-tasker with the ability to adapt to shifting priorities and manage changing workflow.
You possess strong problem-solving capabilities and have a high aptitude for technology and its many uses.
You are a discreet and tactful professional and are comfortable relating to senior leaders and decision-makers, both in person and over the phone or email.
DESIRED SKILLS AND QUALIFICATIONS
University or college degree
A minimum of 2-3 years’ experience in an administrative or customer service role, preferably at not-for-profit organizations, or equivalent combination of education and direct experience
Strong organizational and project management skills
Superior verbal and written communication capabilities
Excellent computer literacy including Microsoft Office (Outlook, Word, Excel, PowerPoint and Access)
Ability to develop and implement practical procedures and systems
Fluency in French (spoken and written) and familiarity with content management systems are assets
COMPENSATION
Salary will be commensurate with experience.
