Food and Beverage Admin Assistant, Newlands, Southern Suburbs. Company Name: Kelvin Grove Club. Job Title Food and Beverage Admin Assistant. Place of Work Food Beverage Department. Hours of Work Monday to Friday 07h30 – 16h30 (173 HRS/PM).

Scope & General Purpose: This role aids the Food & Beverage Team by completing administrative tasks timeously and accurately.  Provide support with skill and professionalism in a variety of administrative functions. 

Responsible to Food and Beverage Manager. Liaises with F&B Manager, Rest & Ass. Rest Manager, Restaurant & Bar staff and Head Chef, Chefs & F/B Duty Managers, Banqueting Duty Managers

Main Duties and Responsibilities: Perform admin duties such as filing, emailing, photocopying, updating rest menus, and responding to telephone calls, emails and messages. Arrange meetings for the team, prepare agendas and ensure accurate minutes are taken and circulated accordingly and timeously. Facilitate, and co-ordinate all preparation for F&B events, promotions, and functions. (i.e. wrapping gifts, meetings with 3rd parties, etc). Support the F&B management team with time management, data gathering, and communication for the execution of projects and events.

Manage all invoices and submit them for payment, ensuring accurate recording and keeping thereof. Assist and help co-ordinate and capture monthly inventory in the outlets if need be. Assist with compiling SOP Training manuals. Gather and collate all guest and member feedback from the outlets. Assisting with queries and complaint resolution as allocated. Ensure that all specials written on any blackboard in the outlets are double-checked in spelling and written with the approved color scheme. Follow up with the outlet managers to ensure any outdated marketing materials from notice boards and outlets immediately when expired. Create and maintain files for F&B event purposes. Be aware of Emergency and First Aid Procedures. (Know who the first aiders are on duty!). Perform other duties as assigned by the F&B Manager. Receiving and confirming restaurant reservations. Compiling menu glossaries. Buying club/restaurant items. Attending weekly marketing meetings. Pulling sales/cover reports.

Qualifications & Minimum Requirements: Education, Grade 12 or Equivalent, Certificate or Diploma in Hospitality Management or Food & Beverage Industry related qualification.

Experience: 2 years of office management or admin experience in the Food & Beverage Industry 2 – 3 years of job-related experience in a similar establishment (Restaurant, Hotel, or Club experience preferable). POS systems.

Requirements: Work well under pressure. Good people skills. Excellent organisation and multi-tasking skills. Good written and verbal communication skills. Accurate data typing and editing skills – Attention to detail. Computer Literate (efficient in Microsoft Office, Word, Excel, PowerPoint, and Outlook).
