Office Administrator Automotive industry, Pietermaritzburg, Midlands. Company Name: Carserv Auto. We are currently seeking a dynamic and organized Office Administrator with experience in the car repairs or automobile industry. The ideal candidate will possess strong administrative and reception skills, handling walk-in customers, quotations, invoices, filing, and managing insurance claims. This position requires a self-motivated individual who is highly organized, reliable, honest, and can work independently. Proficiency in both English and Zulu is essential.

Responsibilities:

1. Customer Interaction:

   - Greet and assist walk-in customers in a professional and friendly manner.

   - Address inquiries, provide information, and ensure a positive customer experience.

   - Manage phone calls and direct inquiries to the appropriate personnel.

2. Quotations and Invoicing:

   - Prepare accurate and detailed quotations for customers.

   - Generate and process invoices in a timely manner.

   - Coordinate with the finance department to ensure accurate billing.

3. Filing and Documentation:

   - Maintain organized and up-to-date filing systems for customer records, invoices, and other relevant documents.

   - Ensure compliance with record-keeping policies and procedures.

4. Insurance Claims:

   - Facilitate communication with insurance providers.

   - Assist customers in navigating the insurance claims process.

   - Coordinate documentation and information required for insurance claims.

5. Administrative Support:

   - Provide general administrative support to the team as needed.

   - Assist in scheduling appointments and managing calendars.

   - Handle office correspondence and communication.

6.Qualifications

- Proven experience as an Office Administrator, preferably in the car repairs or automobile industry.

- Experience with quotations, invoicing, and filing.

- Familiarity with insurance claim processes in the automotive sector.

- Excellent organizational skills and attention to detail.

- Proficient in MS Office applications. (word and Excel)

- Reliable, honest, and a good all-rounder.
