Inventory and Sales Administrator, BAAZ Recruitment. Campbellfield, Melbourne VIC. Client and Sales Administration (Administration and Office Support). Full time. $60,000 – $65,000 per year. Position: Full Time. Hours: Mon to Thurs 8.00am - 4:30pm, Fri 8.00am - 2:30pm. Reports to: General Manager. Location: Campbell field.

KEY Responsibilities: Respond to incoming sales enquiries (phone, email and face-to-face). Responsible for ensuring all goods inwards and despatch operations are accurate and processed correctly in Australia and New Zealand (3PL in NZ). Investigate and determine the cause of all inventory discrepancies. Co-ordinate with off-shore and on-shore suppliers, freight forwarders and logistics providers. Process all sales orders through picking, packing and despatch (Cin7). Despatch consignments and monitor for issues. Analyse stock holding, shipment, and consigning data for improvement opportunities. Inventory Control. Comply and assist with documenting the company’s inventory management processes and operating procedures. Schedule and co-ordinate stock takes (rolling and/or annual). Control physical and system inventory to ensure stock accuracy. Thoroughly investigate and propose rectifications for any identified inventory discrepancies.
Work with purchasing departments and freight forwarders to track or follow-up on incoming stock. Identify and monitor overstocks and/or slow/dead stock to ensure best use of available capital. Monitor stock levels at NZ 3PL and co-ordinate with purchasing departments to minimise out-of-stock. Update inventory records as appropriate to assist with pick/pack and despatch efficiencies. Despatch Operations. Assist the Despatch Manager to Process all sales orders across all customer categories for out of stock/short supply, picking slips, despatch, and invoicing. Assist the Despatch Manager in consigning all outgoing shipments according to company procedures and customer requirements. Control packaging/despatch consumables and requirements to minimise costs. File/record picking slips and outgoing paperwork as required.
Monitor and analyse outgoing consignment data and supplier invoices to reduce or minimise freight costs. Ensure company and customer requirements are met and regularly review domestic freight performance with freight provider(s). Customer Service/Sales Support. Provide exceptional face-to-face service for pickup, trade, or sample inspections. Respond to incoming phone or email enquiries from new and existing customers. Follow-up on despatch and ETA enquiries for all customer categories. Sales Support. Administrative support to the sales teams, such as stock checks, quotes, and invoice preparation.
SKILLS, EXPERIENCE AND ATTRIBUTES: Demonstrable experience in inventory and sales administration. Proficient with Microsoft Outlook, Excel, Word, and Teams. Expertise in Cin7 inventory management system (or similar). Experience with MachShip (or similar consigning system). Systematic and process-oriented thinker. Confident working with existing systems as well as proposing or updating systems and processes. Strong organizational skills and attention to detail. Confident communicating with multiple off-site and overseas stakeholders. Ability to manage multiple tasks. Strong people skills with a friendly, trustworthy, and reliable disposition. Capable of working autonomously and in a small on-site team environment.
