About the role: As our admin assistant, you’ll be the welcoming voice of our practice, providing valuable behind-the-scenes support. This part-time role (20 hours per week) can easily fit around school hours (approximately 9:30am–2:30pm, four days per week), with flexibility to work from home when needed.

There's no formal front desk, so you'll be comfortable managing your tasks independently, stepping into multiple roles as needed. Some days are quiet; others are fast-paced and full of variety.

Your responsibilities will include answering and managing phone inquiries professionally and warmly. Supporting our OT team by managing appointment bookings, diary scheduling, and client follow-ups. Sending invoices and taking payments. Preparing and sending service agreements and paperwork. Ordering supplies (stationery, kitchen supplies, staff resources). Basic filing, email management, and general admin tasks. Running occasional errands to support our therapists and clinic operations.

What we'd love you to bring A warm, friendly approach, excellent communication skills, and a genuine love of people. Strong organizational skills, reliability, and an eye for detail. Comfortable working independently and managing your workload proactively. Previous customer service or admin experience is preferred (bonus points if you're familiar with practice software like Zanda, previously Power Diary, but not essential!). Comfortable using technology and learning new software as needed
