About the Role:
As an administrative support officer, we are seeking a proactive and reliable administrative professional who demonstrates a strong commitment to customer service and a collaborative team spirit. The ideal candidate will possess excellent interpersonal and communication skills, a keen eye for detail, and the ability to manage multiple tasks efficiently in a dynamic environment. Strong organizational and time management skills are essential, along with proficiency in basic computer applications, particularly Microsoft Outlook for calendar management, email coordination, and scheduling. The successful applicant will be adaptable, solutions-focused, and capable of handling routine and ad hoc administrative tasks.
Some Duties & Responsibilities:
Collect, organize, and maintain information required for reports and other area-related activities.
Prepare a range of professional documents, including reports, meeting minutes, and correspondence, using the full functionality of MS Office applications and in alignment with established standards.
Provide accurate, timely, and customer-focused responses to inquiries from internal and external stakeholders, ensuring compliance with relevant guidelines and procedures.
Coordinate and schedule meetings and appointments, including managing invitations, venue bookings, and catering arrangements. May also manage diaries on behalf of other staff members.
Liaise with key internal stakeholders and functional service areas (e.g., HR, Finance) to support the operational needs of the school/area.
Serve as the first point of contact for visitors and clients, delivering a professional and welcoming reception experience.
Perform general administrative tasks such as photocopying, scanning, and dispatching correspondence.
Support procurement activities by sourcing and purchasing office supplies and equipment in line with delegated financial authority and in consultation with relevant staff.
Maintain and update information in the records management system, ensuring accurate filing, ease of retrieval, and compliance with university policy and legislative requirements related to archiving and disposal.
Undertake other duties as required, which are consistent with the scope of the role and contribute to the effective functioning of the team.
Please note the position is permanent full-time; you must have full working rights in Australia to be considered for this role.
