Anakie Community House Coordinator 

Position Description

Background 

Established in 1986, the Anakie Community House is operated by the Anakie and District Community Group Inc. (ADCG) and is located in the township of Anakie, outside Geelong. It aims to be a point of social connection and engagement for local residents. The house provides opportunities for community participation through localised programs, activities and initiatives that are responsive to community needs.  

The Anakie Community House is a not-for-profit community centre funded by the Department of Families, Fairness and Housing (DFFH) under the Neighbourhood House Coordinator Program and supported by the City of Greater Geelong. 

Management of the House  

A volunteer community-based Committee of Management (CoM) is responsible for the strategic direction and management of the house, employing the house Coordinator and formal reporting accountabilities.

Key Responsibilities

The Coordinator has overall responsibility to manage the operations of the Anakie Community House in line with the organisation’s funding agreement with DFFH and Vision, Mission and Values. 

Manage, together with the CoM, the research and development of potential new programs, activities, and promotional activities.  

Seek and manage funds, compliance and reporting requirements of funding bodies, government, non-government, and philanthropic organisations. 

Manage personnel (volunteer and paid) including recruitment and selection, employment, induction, training and development, performance management, career development and succession planning.  

Operational and Financial Management  

Manage the day-to-day activities of the Anakie Community House.  

Ensure maintenance of the premises, equipment, and materials are safe and in working order.  

Be responsible, along with the Treasurer and CoM, for the financial management of the organisation: 

Ensuring the provision of monthly financial reports to the CoM and at the conclusion of each financial year 

Working with the CoM to establish annual budgets 

Ensuring an annual financial review/audit, as required by compliance and funding bodies, is completed by a chartered accountant and a report provided to the Committee of Management, and to the AGM for members.

Manage planning and development of program areas including:  

Community engagement activities 

Education and Training programs (staff and consumers)

Recreation and Leisure programs 

Community and Health Promotion activities

Stakeholder Management  

Seek out and manage partnerships with community organisations that complement the Anakie Community House priorities and charter of Neighbourhood Houses. 

Participate in Neighbourhood Houses Barwon (NHB) and Neighbourhood Houses Victoria (NHV) meetings and development sessions on behalf of the Anakie Community House to manage daily operational matters regarding the house and keep CoM updated on NHB and NHV matters. 

Maintain relationships with relevant City of Greater Geelong staff and teams

Other duties as negotiated with the CoM

Safety

Contributing to ensuring the Anakie Community House remains a safe workplace and place to visit by complying with applicable safety legislation and regulations.

Wages and Conditions 

The role is an ongoing, part-time job, requiring 25 hours work per week during business hours, however some outside hours work will be required on occasions. Flexible work arrangements may be considered with the preferred applicant

Award

Remuneration will be based on the SCHADS Award at level 5 or 6 based on qualifications and experience. 

The terms and conditions of the SCHADS Award does not form part of this contract but will apply except where superior terms and conditions exist in the NHACE 2024 Agreement which forms part of this contract of employment. ?The National Employment Standards (NES) will apply to this contract but does not form part of the contract of employment.

Time off in Lieu (TOIL) 

No overtime is paid, but you are entitled to take time off in lieu of payment for any accumulated hours - as mutually agreed with the Committee of Management.

Accountability

The Coordinator is directly accountable to, and employed by, the Anakie and District Community Group Inc. Committee of Management and participates in a six-monthly performance appraisal led by the Committee of Management.  

The Coordinator is responsible for presenting accurate reports about the house activities and operations at each Committee of Management meeting.  

Requirements

Current Police Check and Working with Children Check or the ability to obtain them

Valid driver’s license 

Australian citizenship, permanent residency, or valid working rights

Some out of business hours work, such as attendance at CoM meetings is required

Key Selection Criteria

The following criteria are considered essential for this position:  

Interpersonal and social skills 

Demonstrated knowledge and understanding of the not for profit and community sector. Desirable: An understanding of the principles of community development and successful history of planning, implementing, evaluating and coordinating services and programs within a community development model.  

Experience (qualifications) and demonstrated skills in financial management, budgeting, human resources and reporting.  

Experience in building and sustaining partnerships and working collaboratively.  

The ability to contribute to the Strategic Directions of the Anakie Community House including capacity to identify new opportunities and experience to attract funding.  

An ability to effectively work independently and with the Committee of Management, including the ability to prioritise and manage workload as necessary. 

Comprehensive understanding and ability to work with rural communities. In particular, building an understanding of the Anakie community and operating within privacy guidelines.  

Excellent computer, written and oral communication, and interpersonal skills.   

Desirable qualifications and experience 

Tertiary qualifications OR relevant experience in Community Development, Adult Education or a related field. Experience in a similar role in a Neighbourhood House would be an advantage but not essential

Experience working within a Community Development model of practice.  

Experience using bookkeeping software such as XERO 

Experience using publisher

Experience implementing or operating under Child Safe Standards 

Coordinators Day to Day duties  

Leadership  

Be a positive and visible link between staff, volunteers and CoM. 

Communicate with people of various backgrounds in a polite, helpful and nonjudgmental manner.  

Provide a welcoming, inclusive, safe and positive environment for people accessing the House.  

Encourage all volunteers and House users to be familiar with and adhere to all policies and procedures of the House.  

Partnership and collaboration 

Work with local service providers by participating in programs that align with ADCG strategic priorities  

Develop and maintain professional partnerships with other local services. Refer people to the appropriate services as required. 

Attend or, where negotiated, arrange a staff or CoM delegate to attend meetings of the Barwon Neighbourhood House Network, and other relevant partnership meetings.  

Development and learning  

Communicate and participate in the professional development provided through Neighbourhood House Victoria (available for committee of management, house coordinator, staff and volunteers) 

In consultation with the CoM attend specific workshops, conferences and development opportunities relevant to the House (or arrange a representative).  

Record keeping  

Maintain accurate records for reporting and contractual obligations  

Provide monthly written reports to the CoM on house activity and to inform strategic decisions  

Keep ADCG Community informed of activities and programs via development and distribution of the house newsletter, advertising materials, print and web-based communications.  

Support and inform the CoM in their respective roles and responsibilities - refer to NHCP Guidelines.  

Adhere to ADCG policies and procedures and provide input to policy development and updates as required.
