PA/Receptionist Required, Morningside, Durban City. A global Engineering company based in Morningside is looking for a receptionist/personal assistant to start asap.

Duties & Responsibilities: Managing diaries and organising meetings and appointments for company directors. Responsible for Global Travel Arrangements i.e. domestic and international travel arrangements for the MD and 12 consultants, visa arrangements, accommodation etc. Manage international travel insurance and itineraries and be available for queries after hours if consultants are stuck abroad whilst travelling.

Manage the MD’s calendar and appointment scheduling, travel arrangements and adhoc requests. Producing documents, reports and presentations. Be social media savvy and interested in marketing using social media strategies to create company awareness. Produce reports, presentations, and briefs. Devise and maintain office filing system. Maintain all hard copy and digital records for ongoing executive projects.

Assist in creating and distributing meeting minutes for the monthly manager’s meetings   and other executive meetings. Record notes and messages for the MD. Schedule and arrange meetings and conferences. Screen and direct phone calls and distribute correspondence. Handle requests and queries appropriately.

Desired Experience & Qualification: A Secretarial diploma/certificate from a recognized institution. Proven experience working as a personal assistant. Proficient in computer technology especially Microsoft Office applications. Excellent verbal and written communication skills. Strong customer service and social skills. Exceptional organizational and time-management skills.

Follows instructions clearly and accurately within a timely fashion. Proactive and enthusiastic about delivering positive results. Able to work under pressure. Well-groomed and well spoken. Excellent telephone etiquette. Salary negotiable and to be discussed at interview.
