Psychiatry Support is a fast-growing, multidisciplinary telehealth mental health service providing compassionate, trauma-informed care across Australia. We are seeking an experienced and dedicated Administration Officer to join our supportive team in Burnett Heads.

This is a pivotal role within the organisation, ensuring patients, clinicians, GPs, and external agencies experience seamless, professional, and reliable communication and support.

About the Role

You will be responsible for the smooth coordination of patient services, appointment scheduling, referrals, Medicare/DVA/WorkCover billing, and daily administrative operations. This role suits someone who is proactive, organised, and confident in managing multiple systems and high-volume communication.

You will work closely with our Practice Manager/Clinical Director and liaise with psychiatrists, psychologists, NDIS providers, GPs, and external agencies.

Key Responsibilities

Patient and Referral Coordination

Book, confirm, and reschedule appointments

Send quotes, consent forms, documentation

Manage referrals and GP communications in the database system.

Ensure timely follow-up and accurate patient records

Phone Line

Answer all calls/voicemails and action

Document interactions in Gentu and escalate urgent matters

Follow procedures for crisis or support-related calls

Telehealth and Zoom

Create and send Zoom links

Assist patients with telehealth troubleshooting

Clinical Documentation

Upload and distribute reports

Ensure secure storage and distribution

Manage tasks and correspondence efficiently

Billing and Invoicing

Process Medicare, DVA, WorkCover, and private billing

Manage rebates, claims, and pre-approvals

Support Xero invoices and purchase order processes

NDIS and Allied Health Coordination

Liaise with NDIS providers and complete service agreements

Reception and General Support

Reception coverage

Manage tasks, workflows, and tasks

What We’re Looking For

Strong administration experience (medical admin preferred)

Excellent communication skills and professional phone manner

Ability to prioritise high-volume tasks with accuracy

Experience with Gentu, Genie, or similar practice software (desirable)

Understanding of Medicare, NDIS, DVA, or WorkCover (desirable)

Ability to maintain discretion and confidentiality at all times
